Group Bid Manager

The Group Bid Manager is a new position that will form part of the Group Bid Management Team (GBMT). The GBMT works across the group to assist identification and pursuit of major opportunities, and assist business unit pursuit teams in development of strong proposals that win high-value and strategic projects. The GBMT has developing responsibilities in other areas, including development and maintenance of proposal content libraries, management of pre-qualification systems and tendering portals, and ensuring robust commercial (pricing & contractual) review is applied to pursuits in accordance with designated authority levels.

The Group Bid Manager’s duties will be split between bid writing/bid management, and content management. The content management workstream will involve creating, management, and organisation of both technical and non-technical ‘boilerplate’ content (e.g., product information, method statements, case studies, CVs), that will enable the GBMT and business unit pursuit teams to improve both throughput and quality of proposals. Over time, the position will build content libraries relevant to different business units, and in turn, will be expected to develop good relationships with business unit directors and SMEs to successfully negotiate contributions.

Previous experience in a bid writing, bid management, or content management position (or similar) is essential for this role. The successful appointee will demonstrate good proposal writing and editing skills, strong ability in managing conflicting priorities, and have good people skills to assist in building good working relationships. They will be comfortable in working with senior stakeholders.

While a degree of flexible / home working is expected, the position is linked to our Leeds office (Nexus) however you can work from any of our Northern offices – Leeds, Wetherby, Manchester or Derby. The role is expected to involve occasional travel to other business locations to ensure the role is performed effectively.

Core Duties 

The core duties of this role are:

Bid Management / Writing Workstream 

  • Assist in identifying suitable opportunities through monitoring of company tendering portal accounts and customer websites, and retrieving / disseminating tender documentation.
  • End-to-end management of strategic tender opportunities from opportunity identification to proposal submission. This will involve building relationships with Tracsis directors and SMEs to secure good quality technical and commercial inputs for proposals.
  • The appointee will be expected to perform bid writing, editing, and review duties, and offer advice and assistance to business unit commercial teams in pricing opportunities.
  • The role will assist in implementing new processes that improve efficiency in delivery of proposals, and ensure robust commercial review of opportunities is performed.

Content Management Workstream 

  • The appointee will have a key role in the development and maintenance of Tracsis’ proposal content libraries. This will involve creating, management, and organisation of both technical and non-technical ‘boilerplate’ content (e.g., product information, method statements, case studies, CVs). that will, in turn, enable greater efficiency in responding to opportunities.
  • The role will be tasked, over time, to create content libraries relevant to different Tracsis business units. Therefore, it will be important for the appointee to develop good relationships with company SMEs and directors to successfully negotiate both periodic and ad-hoc contributions.

Other duties that will be performed include:

Qualification Systems Management:

  • Tracsis maintains numerous pre- qualification systems that enable the company to bid for work with important clients. Example systems include Network Rail’s Railway Industry Supplier Qualification Scheme (RISQS), and Technology Supplier Qualification Scheme (Technology SQS).
  • The role will assist in managing pre-qualification systems on behalf of Tracsis plc and subsidiaries as directed by the Head of Group Bid Management. This will involve working with centralised support functions (e.g., H&S, Compliance, IT), and business unit directors / SMEs. 

Team Metrics / Reporting: 

  • The role will assist in collecting relevant team metrics (e.g., bid value, win rates, turnaround times), monitoring the opportunity pipeline, and collating reports for senior management.

Knowledge, Experience and Capabilities 

  • Have previous experience in a bid writing, bid management, or content management position (or similar).
  • Have demonstrable ability to plan forward, and go the extra mile to meet deadlines.
  • Demonstrate strong writing skills and attention to detail.
  • Demonstrate knowledge of Tracsis products and services.
  • Possess strong organisational, communication, and interpersonal skills.
  • Be able to work remotely, and be flexible to travel to different Tracsis office locations where required.
  • Be proficient in relevant software packages including but not limited to: MS Word (advanced level), Excel, Outlook, and Power Point, and in use of shared working platforms such as SharePoint and Teams.

Desirable knowledge, experience, and capabilities include:

  • Previous experience in transport (rail industry experience a distinct advantage).
  • Previous experience in using proposal development software and/or business CRM systems.
  • Strong MS Excel, database, and/or MS Power BI skills to assist in reporting team metrics.
  • Demonstrable comprehension, business writing, proofreading and text editing skills.
  • Commitment to professional development through relevant qualifications and/or membership of a relevant organisation, e.g., the Association of Proposal Management Professionals (APMP) or similar.
  • Relevant degree, or other appropriate professional training / qualifications.


This role will report to the Head of Group Bid Management. Other key interfaces will include:

Group Operations Director, Business unit MDs, Business unit SMEs, Business unit sales and delivery teams, Other group support functions (e.g., HR, Finance, HSQE, Compliance, IT, Data Protection), Customers, and external partner organisations / subcontractors.
